When a terminology project is started, simple software solutions such Microsoft Excel or Word are often used. This is a reasonable process, actually, but the user soon realizes the limits of this approach where clarity and controllability are concerned. Before it comes to a point where the quality of a terminology system begins to suffer, it is advisable to procure a system for terminology management. But what are the criteria to be applied in the selection of such a special system?

Many companies start off with terminology management in a rather unconscious manner, mostly with simple word lists or glossaries. Often, they take recourse to pragmatic software solutions that suit the situation, in many cases, using text editors and spreadsheets. However, the more extensive and professional a terminology becomes, and the greater the number of persons who intend to use it, the more difficult it becomes to maintain it, retain an overview and ensure that all the users can use the same data base. In the absence of a special terminology application, the entire exercise soon becomes risky, because the motivation drops as the effort increases. A software that is tailored to suit the requirements of terminology management spares the user these frustrations, is more effective and also opens entirely new possibilities for using terminologies.
